1. Agreement to Terms
By creating an account or using the eptk.cloud service ("the Service"), operated by Arctic Mopping Ltd (Business ID 3218773-8) under its auxiliary trade name Event Production Toolkit EPTK ("we", "us", "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
B2B Capacity: By registering an account, subscribing to a paid plan, or using the Service, you represent and warrant that you are acting solely in a professional, commercial, or business capacity (Business-to-Business, "B2B") on behalf of a legal entity, business, sole proprietorship, or as an independent professional, and not as an individual consumer.
2. Description of Service
eptk.cloud is a cloud-based Software-as-a-Service (SaaS) platform designed for professional event production teams. The Service provides workspace management, event planning tools, team collaboration, and related features.
Third-party map and weather data. Map features in the Service are provided using Google Maps Platform. By using those features you also agree to Google's Terms of Service, which are incorporated into these Terms for map features, and Google's Privacy Policy describes how Google handles the data it receives through them. Weather data is provided by Vaisala Xweather. We do not control these services, and they may change or become unavailable independently of the Service.
3. Account Registration
- You must provide accurate, current, and complete information during registration.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately of any unauthorized access to your account.
- One person may not maintain more than one account.
4. Workspace and Team Use
- Workspace owners are responsible for managing team members and their access levels.
- You may invite team members who will be bound by these same Terms upon account creation.
- Workspace data belongs to the workspace owner(s). Individual members retain rights to their personal account data.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose
- Upload or transmit malicious code, viruses, or other harmful material
- Attempt to gain unauthorized access to other accounts or systems
- Interfere with or disrupt the Service
- Use the Service to send unsolicited communications
- Resell or redistribute the Service without our written consent
6. Subscription and Billing
- Certain features require a paid subscription.
- Subscription fees are billed according to your chosen plan (monthly or annual).
- You may cancel your subscription at any time. Access continues until the end of the current billing period.
- We reserve the right to change pricing with 30 days' prior notice.
- All fees are billed in the selected currency (Euros or US Dollars) and are exclusive of applicable taxes.
- Exclusion of Consumer Rights: Because the Service is strictly a B2B platform, you acknowledge and agree that consumer protection laws—including, but not limited to, the European Union statutory 14-day right of withdrawal (cooling-off period) for consumers—do not apply to any subscription, fee, or transaction made under these Terms. All purchases are final and non-refundable.
7. Data Processing and Privacy
- We process personal data in accordance with our Privacy Policy and applicable EU/EEA data protection regulations (GDPR).
- Workspace data is stored and processed within the European Union (EU). Authentication is processed in the United States; the transfer and its safeguards are described in the Privacy Policy.
- Where we process personal data on your behalf — the content you and your members store in a workspace — we act as your processor under our Data Processing Addendum, which forms part of these Terms. Section 2 of the Privacy Policy states which role applies to which data.

8. Intellectual Property
- The Service, including all software, designs, and content, is owned by Arctic Mopping Ltd and protected by intellectual property laws.
- Your content remains yours. By uploading content, you grant us a limited license to store, process, and display it as needed to provide the Service.
- You may not copy, modify, or reverse-engineer any part of the Service.
9. Service Availability
- We aim for high availability but do not guarantee uninterrupted service.
- We may perform planned maintenance with reasonable advance notice.
- We are not liable for downtime caused by factors outside our reasonable control.
10. Limitation of Liability
To the maximum extent permitted by applicable law:
- The Service is provided "as is" without warranties of any kind.
- We are not liable for indirect, incidental, or consequential damages.
- Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim.
11. Termination
- Customer Termination: You may terminate your account or subscription at any time through the Service. For paid subscriptions, termination will take effect at the end of the current billing period, and you will continue to have access to the Service until the end of that period.
- Provider Termination: We may suspend or terminate your account immediately and without prior notice if you violate these Terms, fail to pay fees, or engage in conduct that may cause harm or liability to us or others. Upon such termination, your right to use the Service ceases immediately.
- Termination ends your access to the Service. It does not by itself delete your data. We keep workspace content until the workspace owner deletes the workspace, or until you ask us to erase it — deleting a workspace begins a 30-day retention period, after which the content is removed (Data Processing Addendum, section 11). We do not delete the data of inactive or lapsed accounts automatically.
12. Changes to Terms
- We may update these Terms from time to time.
- Material changes will be communicated via the Service and/or email.
- Continued use after changes constitutes acceptance of the updated Terms.
- If you disagree with changes, you may terminate your account.
13. Governing Law
These Terms are governed by the laws of Finland. Any disputes shall be resolved in the courts of Helsinki, Finland.
